Apologies – Cllr’s Fisher, O’Dunne, Dando and Hemming sent their apologies. It was resolved to accept these.

2          Declarations of Interest – There were no declarations of Interest.

3          Written applications for dispensations under the Localism Act 2011 – There were no written applications for dispensation.

4          Approval of Minutes dated 5 July 2022 – it was resolved to accept the minutes as a true and accurate record.

5          Matters arising from the meeting of 5 July 2022 and not otherwise on the agenda

6          Tender process for the Design of the Porch update

Cllr Borasinski to advise update on the tender document

We need to determine how we submit the design to go to planning

7          Update on Operational Procedural Changes – The VHC are looking at these requirements.

8          Air Conditioning replacement unit update – Still to be reviewed

9          Roller Shutter Door update – Cllr Borasinski to approach the fire risk officer. Quotes to be provided.

10        Electronic release system for the kitchen door – Cllr Borasinski is awaiting quotes.

11        Repair of the floor in the main hall – It was resolved to suspend financial regulations and accept the quotation of £942.50 from New Hall Property Limited to undertake the works.

12        Procurement of new sound system – Now installed. Item to be removed from the agenda.

13        Allied Westminster rebuild cost assessment form submission –

Following an assessment by Cllr Borasinski the figure to cover the rebuild costs has increased to £765,856 including the 2 garages @ £8,200, the additional insurance cost of £42 has been paid by the VHC. Cllr Borasinski used the BCIS standard software to formulate costings, the Clerk to inform the insurance company.

14        Chair storage / chair replacement – No action has been investigated to date.

15        Village Hall Committee minutes

  • They are disappointed there are delays in the progress of the porch and the planning permission required
  • It was agreed to renew the Premise Licence @ £180
  • Due to Cllr Borasinski submitting a revised rebuild cost, the VHC have paid a further £42 to the Insurers to cover the additional figures.
  • It has been noted there are times the hall has been left open, options need to be looked at to resolve this issue. The equipment value in the hall is high, may need CCTV to cover the entrances.
  • Two quotations received to replace the fence at the entrance to the Hall.
