1 Apologies – Cllr’s Dando and Bentley gave their apologies; it was resolved to accept these.
2 Declarations of Interest – There were no declarations of interest.
3 Written applications for dispensations under the Localism Act 2011 – There were no written applications for dispensation.
4 Minutes of the Sole Trustee Meeting 6 December 2022 – These were accepted as a true record and duly signed by the Chairman.
5 Matters arising from the meeting of 6 December 2022 and not otherwise on the agenda.
6 Tender process update for the Design of the Porch – It was noted the application had been submitted to the Local Planning Authority and are awaiting their decision.
7 Procedural change update following the complaint made regarding the installation of the fence adjacent to The Cottage. It was resolved that procedural changes would be implemented to ensure properties within the vicinity of the Hall will be informed prior to any exterior maintenance / buildings works commenced.
8 Operational Procedural Changes – The Clerk and Cllr Borasinski had a meeting to review the procedural documentation. It was noted the current procedures were out of date and needed to be amended to reflect how the Village Hall Committee operate in conjunction with the Sole Trustee.
9 Air Conditioning replacement unit update – (deferred awaiting external works)
10 Installation of a CCTV system – The Village Hall Committee has not determined if a CCTV camera is to be installed, they are concerned with regards to the monitoring.
11 Boiler system update – A boiler engineer has visited site and determined the boiler was in good working order and did not need to be replaced. Replacement parts are readily available.
12 Appointment of new Auditor – The Clerk is liaising with other Parishes to obtain recommendations.
13 Village Hall Committee minutes – these were distributed accordingly.
14 Items to be added to the next agenda – No items were added to the agenda.
15 Date of next meeting to be scheduled following updates regarding building works progress.
